Article 1 — Purpose and scope

These terms and conditions govern bookings for stays, tables and services made with Résidence Royale HNM, Akpakpa Sodjatinmè, 1ère rue à droite après Ciné Concorde, Cotonou, Republic of Benin, whether booked online, by telephone or by email.

Making a booking constitutes full acceptance of these terms. They prevail over any other conditions issued by the client, save express written agreement from the establishment.

Article 2 — Booking

A booking becomes firm once written confirmation has been sent by the establishment and, where applicable, the deposit has been received. The confirmation restates the dates, room category, number of guests and total price.

A booking is for a room category, not for a specific unit. A particular room is allocated on arrival, according to availability and within the category booked.

The client warrants the accuracy of the information provided. The establishment cannot be held liable where incorrect contact details prevent delivery of the confirmation.

Article 3 — Prices, nights and taxes

Prices are stated in CFA francs (XOF), inclusive of all taxes. The CFA franc has no subdivision: all amounts are whole numbers.

Stays are counted in nights. The period booked runs from the arrival date to the departure date, the departure night not being charged: a stay from the 12th to the 15th therefore counts as three nights.

Published rates cover accommodation and the services expressly listed. They exclude personal expenses, optional services and the local tourist tax, currently [À COMPLÉTER], which is collected on departure.

Rates may vary by season. The applicable price is the one confirmed at the time of booking; any later change to the rate card has no effect on a booking already confirmed.

Article 4 — Payment

A deposit of 30% of the total is payable on booking. The balance is due no later than the day of departure.

Accepted means of payment are: [À COMPLÉTER]. Online payments are handled by an approved provider; the establishment keeps no bank details.

Should the balance remain unpaid, the establishment reserves the right to refuse access to the services after a formal notice has gone unanswered.

Article 5 — Cancellation and changes by the client

Any cancellation or change must be notified in writing to booking@royalhnm.com. The date of receipt governs.

  • Cancellation received more than 7 days before arrival: full refund of sums paid.
  • Cancellation received 7 days or fewer before arrival: the 30% deposit is retained by the establishment.
  • No-show or early departure: the full booked stay remains payable.

Changes are subject to availability and may lead to a price adjustment. Group bookings and private events are governed by specific conditions set out in the quotation.

Article 6 — Cancellation by the establishment

Should it prove impossible to honour a booking, the establishment undertakes to inform the client as soon as possible and to offer either accommodation of an equivalent or higher category, or a full refund of sums paid. No further compensation shall be due.

Article 7 — Arrival, departure and the stay

Rooms are available from 14:00 on the day of arrival and must be vacated by 12:00 on the day of departure. Late arrivals should be notified; reception is open around the clock.

Valid photographic identification is requested from each adult guest on arrival, in accordance with the regulations applicable to accommodation providers.

The maximum occupancy stated for each category may not be exceeded, for safety and insurance reasons.

Article 8 — Restaurant and additional services

A table booking is a request, confirmed by the establishment subject to availability. Tables are held for fifteen minutes beyond the agreed time.

The menu changes with deliveries and seasons. Clients are asked to report any allergy or intolerance when booking; the establishment does its utmost to accommodate these but cannot guarantee the complete absence of traces.

Treatments, classes and excursions are booked on site, subject to availability. Water and outdoor activities are undertaken at the client’s own risk, in accordance with the safety instructions displayed.

Article 9 — House rules and liability

Clients undertake to use the premises peaceably and to respect the tranquillity of other guests. The establishment reserves the right to end a stay, without refund, in the event of conduct affecting the safety, peace or reputation of the estate.

Any damage found is charged to the client on the basis of the cost of making good.

The establishment accepts no liability for the loss, theft or damage of personal belongings left unattended. A safe is provided in each room.

Animals are not permitted on the estate. Smoking is prohibited in rooms and indoor areas.

Sea bathing is undertaken solely at the client’s own risk: the coastline is subject to strong currents and is not supervised.

Article 10 — Force majeure

Neither party shall be liable for any failure resulting from force majeure, including exceptional weather, natural disaster, epidemic, administrative decision, prolonged utility failure or civil disturbance. Sums paid are then refunded in proportion to the services not provided.

Article 11 — Complaints

Any complaint should be raised on site, so that the establishment can put matters right immediately. Failing a solution, it may be sent in writing within thirty days of departure to booking@royalhnm.com.

Article 12 — Personal data

The processing of data collected when booking is described in our privacy policy.

Article 13 — Governing law and disputes

These terms are governed by the law of Benin. In the event of a dispute, the parties shall seek an amicable solution before bringing proceedings. Failing agreement, jurisdiction is conferred on the courts of Cotonou, Republic of Benin.

The French version of these terms is the only contractual version. Any translation is provided as a courtesy.
